How to use Room live capture during a session

Room is live capture for the hour you are already in — a lecture, critique, all-hands, or interview. This guide is what to do while the session is running: how audio, live captions, notes, and dropped files work together.

Start the room

Open Dashboard → Room (or Capture → Room). You get two starts:

• Start room — microphone on from the first second. Use this when you want the conversation itself.
• Start without audio — session clock runs, notes and files still timestamp. Tap Audio later if you decide the mic should join.

Optionally name the Room (a class, client, project, or series). The next room with that name lands in the same pile. You can leave it blank.

Audio is always optional. Ending the room never depends on the mic being on.

What stays running no matter what

Once a room is live, CapturedIt keeps the hour. Pause and adding a photo do not stop the session clock. If you save while still uploading, you can leave — the room finishes in the background.

• Recording (when the mic is on) keeps going through notes and dropped files.
• Pause holds the microphone. Notes still timestamp to session time.
• Resume reopens an unfinished room after a refresh, a closed tab, or a dropped call. Notes and audio already on this device come back with you.
• Discard throws away an unfinished room. It does not count as one of your Starter Room sessions.
• End room saves the hub plus everything you added during the hour.

Live transcript

With audio on (Chrome or Safari), Room shows live captions as people talk. Captions are a preview. After you save, a full transcript is built from the recording, including speaker labels from diarization when available. You can rename speakers on the saved room item.

Live notes and important markers

The notes box timestamps to session time — even if audio is off or paused.

• Enter adds a note.
• ⌘/Ctrl+Enter (or Mark important) adds a ★ marker for the moment you will want to jump back to.

Notes and markers show on the session timeline. After save, they seek the recording. They also feed Just Ask — “what did we mark important?” has sources.

Add captures while the room is live

Add to this room drops other capture types into the same session. Each one is its own library item, tagged to the room, with the timestamp when you saved it.

• Camera — whiteboard, slides on a projector, the sketch on the table.
• Photos — camera roll shots you already took.
• Files — PDFs, decks, handouts. Drag from Finder or File Explorer, or use the button.
• Link — a Figma file, agenda, or article someone just shared.
• Text — a quote, definition, or follow-up you do not want in the running notes box.

You can add an optional caption on the capture. That caption is search and Just Ask context — “the board at 1:12” is easier to find when the photo has a note.

The Timeline lists notes, markers, and captures as they happen so you can see the hour assembling without leaving the room.

After you end the room

The hub item is the session: audio (if you recorded), transcript, notes, and a summary when AI Assist runs. Sibling captures stay attached. Open the room from your library to:

• Play the recording and jump to a note or ★ marker.
• Rename speakers on the saved transcript when labels need a fix.
• Just Ask the hour: “What did we decide?” “What was on the board?” “Summarize the last 20 minutes.”
